Even if you're not an HR expert, you know that huge risks exist when employee management tasks aren't handled properly. You also know that lawsuits can destroy a company and your chances of advancement. That's why Ultimate Employer needs to be in your organization.

One of the components that you'll receive, People Manager, makes it easy to keep accurate personnel records and document actions like hiring, promotions, reviews or termination's. It reminds you about important events like benefits eligibility dates, it gives you flexible options for tracking attendance and interfacing with your payroll service.

It's like having a full time HR expert to centralize all your employee information, alert you to the legal significance of employee management issues and provide you with expert human resource advise.

It includes crucial forms and letters such as:

  • application forms
  • reference release form
  • offer letter
  • hiring checklist
  • inventions and non-compete agreements
  • repetitive motion injury report log
  • request for leave of absence
  • warning notice
  • termination notice
  • exit interview form

and checklists to use:

  • before you fire
  • take disciplinary action
  • when making handbook revisions
  • for fire and emergency orientation

  • key assignments
  • when employees leave
  • when conducting performance reviews

If you have employees then you need written policies, updatable job descriptions and ongoing performance reviews. You owe it to the success of you organization and to the people that make that success possible.

Written policies and descriptions also help employers document compliance with complex employment laws and regulations.

The language used in each policy is drafted to reflect applicable federal requirements and the type of language typically used by employers across the United States.  But every organization is unique. That's why you can use the model policy language “as is” or tailor it to reflect your organization’s culture and to conform to your other policies

Ultimate Employer also comes with Policies Now, which includes 109 model policies that cover virtually every employment situation, from hiring to termination, vacations, leaves of absence, and disciplinary procedures. You get to point and click your way your way to a customized employee or management handbook that includes any or all of the following components:

You also get a third component with the Ultimate Employer: Performance Now. And it's my favorite piece.

Why?

It gives me the vocabulary I need to be an effective coach, mentor and counselor. Instead of those generic, utterly useless performance reviews I was guilty of conducting (you know which ones I'm talking about) as a new manager, my performance reviews are now packed with tangible outcomes and precise expectations that my employees can meet.

For example, how many times have you seen something like:

"Brian needs to communicate more effectively and stop being negative."?

That doesn't do Brian or his manager any good. There are no clear, definable measurements of what constitutes effective, positive communication skills.

With the Ultimate Employer I have a secret weapon in the battle for effective performance evaluations. I went to the goal-setting portion of Performance Now, highlighted the communications segment and clicked on the "Ideas" button. I couldn't believe the options available!! In 30 seconds I clicked on a few of those options, then clicked on the "Copy text to Form" button and I was done. My new goal setting portion read something like-

"Brian needs to anticipate what questions might be asked about his work ahead of time and formulate answers. He also needs to ask for assistance from others rather than making demands of them.

Finally, to diminish his tendency to dominate the conversation, Brian needs to concentrate on what the other person is saying before formulating his thoughts and answering. In light of his past outbursts, Brian needs to guard against responding emotionally to a volatile situation. Instead of becoming defensive or argumentative when discussing a problem or situation, Brian needs to:

  • Avoid inappropriate body language and gestures such as rolling his eyes, shrugging, or smirking.
  • Avoid interrupting conversations or finishing others' sentences, and not jumping to conclusions until he has heard all the facts and all sides of a situation.
  • Avoid using verbal phrases or responses that belittle colleagues, their actions or their ideas. Instead, Brian needs to begin to disagree without resorting to vulgarity by focusing on constructive feedback and the verbal tone he uses to respond to others."

Of the two examples, which do feel got the best results? The second one, of course. I had no clue that these options were available. Yet, they were just a handful of of the dozens of options displayed when I went to the ideas section.

Mine for the clicking.

With each click, the evaluation is being written automatically: from rating various elements to goal setting. I can evaluate and keep track of an infinite number of employees. With a few clicks and a few tweaks, I had a blueprint for improvement. It was a win-win for everyone involved.

Because the programs is so intuitive and simple to learn, I can even have my employees assess their own performance. Then, we compare results and get mutual ownership on specific goals and improvement. Even in informal settings, knowing the options let's me help employees throughout the day to be their best in every imaginable area.

The fourth component you'll enjoy using is Descriptions Now! From recruiting to hiring to performance management and compensation, a legally appropriate, comprehensive job description not only boosts performance -- Descriptions Now helps protect you in case of legal disputes by addressing those issues covered by the ADA and other employment laws.

Descriptions Now helps you give employees comprehensive details about their responsibilities, your expectations and the job requirements. Whether you're writing one job description for a new hire or updating descriptions for your entire company -- just point, click and edit. Descriptions Now does the rest automatically. Using the program's Intelli-Text technology, your input is automatically converted into clear, concise, meaningful text. As you answer questions and make selections, you'll get sentences that accurately describe qualifications, supervisory responsibilities, physical demands and work environment.

As a result you'll attract more qualified prospects, increase your retention rates and productivity and decrease your turnover. Accurate descriptions also and save time and lost revenue from training, accidents and litigation dollars. For you, you can look forward to less stress, higher income and more energy to devote to things you're really passionate about.

Our time is precious too.

With the Ultimate Employer, the time it takes to conduct performance evaluations, write job descriptions and employment ads, implement personnel policies and track employee activity and professional growth is cut by about 80%. That's 80% more time for me to do other things and maybe even go home early once in a while to be with my family. Imagine that!

By following the expert advice, automatic language checking features and templates contained within the Ultimate Employer suite everything will be ADA and EEOC compliant.
